I see the information you share with me as deeply personal. I only ask for what is absolutely necessary to offer sessions safely and respectfully, and I hold it with care, trust, and consent

Who I am

Emerge Holistic is a trading name of Holly Griffiths.

I operate as a sole practitioner, offering one-to-one work across three interconnected areas: emotional wellbeing, self-awareness, and support for sensitive individuals. This work is expressed through three trading names, which share a common philosophy and may use shared systems for booking and communication.

I am the data controller for any personal information you choose to share with me.

What I collect

I collect only the information needed to support our work together. This may include:

  • Contact details and background information you choose to share when making a booking    (via Appointlet).​

  • Booking information (such as name, appointment time, and messages) processed through my scheduling system and synced to my calendar.​

  • Communications between us, including email, text, or WhatsApp messages relating to your sessions.

  • Session notes, which are stored separately and identified only by a client code.​

  • Testimonials you choose to submit via my website.​​​

  • Anonymous website usage data (such as page visits) collected through Wix and Google Analytics.​

  • A minimal record of “red-flag” contacts, kept only where necessary for safety and boundary management.

I do not collect more information than is necessary for these purposes.

What I don't collect

I do not use your information for marketing purposes. I do not run mailing lists, send promotional emails, or build marketing profiles.

Any details you provide are used solely to facilitate our work together — including communication and booking appointments.

I will never sell, share or use your date for third-party marketing.

I only collect the information necessary to support this process, along with anything you choose to share with me as part of your enquiry or booking.

How I use this information

  • To reply to enquiries and arrange sessions.

  • To deliver services and keep appropriate records.

  • To meet legal or safety duties, or handle a dispute.

  • To improve my site using anonymous visit data.
     

Where your information is stored

​​​​​Your information is stored securely using a combination of digital and physical systems.​

  • Booking details and communications are held within my email and calendar systems, which are protected by secure login and authentication.​

  • Messages (email, text, WhatsApp) are stored on password-protected devices.​

  • Session notes are kept separately from identifying information and are recorded using a client code.​

  • Testimonials are stored within my website system and/or email until published.​

  • Records relating to safety or boundary concerns are kept only where necessary and stored securely.​​

I operate under multiple trading names, and some systems (such as booking, communication, and record-keeping) are shared across these. Your information may be accessed within these systems where relevant to supporting our work together, but is not used for any other purpose.​

How long I keep it

I keep your information only for as long as it is needed to support our work together and meet my professional responsibilities.​

  • New enquiries are held for up to 6 months, and are then deleted if no booking is made.​

  • Client records are usually kept for up to 7 years after our last contact, unless there is a valid reason to retain them for longer (for example, in the case of a dispute).​

  • Messages are kept while you are an active client, and may be deleted around a year after our work has ended.​

  • Records relating to safety or boundary concerns may be kept for as long as my practice continues.​

I review stored information periodically and remove anything that is no longer needed.

Sharing your information

Payments are made directly via your bank. I do not see or store any of your financial details.

My website host (Wix), booking system (Appointlet), and email/cloud services (Google) act as data processors and handle information in line with their own security and privacy policies.​

I would only share your information if required to do so by law, or in the event of a serious and immediate risk of harm.

Communication channels

Clients may contact me via WhatsApp for initial enquiries or scheduling an introductory call. Please note that WhatsApp allows users to delete call logs and messages for both parties, which is outside my control.

For this reason, all session bookings, confirmations, and any information relating to appointments or therapeutic work will be sent via email or SMS, where records can be retained securely in line with data protection and professional requirements.

Cookies & Analytics

This site uses basic cookies to make it run and anonymous statistics from Wix/Google. There are no ad-tracking pixels.

You can ask to see, correct or erase your information, or limit how it’s used. You can also get in touch with the UK Information Commissioner if you have any concerns (www.ico.org.uk).
